We Collect;

  1. Questions, queries or feedback you leave, including your email address if you contact AI Search.

  2. Your email address and subscription preferences when you sign up for our email alerts, and how you use our emails – for example, whether you open them and which links you click on.

  3. Your IP address, and details of which version of web browser you used.

  4. Information on how you use the site, using cookies and page tagging techniques.

This data can be viewed by authorised people in the AI Search group and our suppliers, to:

  4. Send email alerts to users who request them.

  5. Allow you to access AI Search services and make transactions.

  6. Provide you with information about AI Search services if you want it.

Where your data is stored We store your data on secure servers in the European Economic Area (EEA) (except for data that we gather when you sign up for our email alerts). Some of our suppliers are based outside the EEA. We have strict controls over how and why your data can be accessed. By submitting your data, you agree to this.

When you sign up for our email alerts We use our systems and possibly MailChimp for our email alerts. MailChimp has staff based outside the EEA and stores your data in the US. We only share your email address with MailChimp, and they have no authorisation to share your email address with anyone else or to use it. MailChimp is certified under the EU-US Privacy Shield framework. When you sign up for our email alerts, you agree to your data being stored in this way. As a subscriber to our email alerts, we may contact you from time to time to ask for your feedback on how to improve our email alert service. As a data processor, aisearch.onl will use your information to send you email alerts if you request them.

Keeping your data secure Sending information over the internet is generally not completely secure, and we can’t guarantee the security of your data while it’s in transit. Any data you send is at your own risk. We have procedures and security features in place to keep your data secure once we receive it.

Disclosing your information We may share your personal information if we have a legal obligation to do so or if we have to enforce or apply our terms of service and other agreements. This includes exchanging information with other organizations for legal reasons. We won’t share your information with any other organisations for marketing, market research, or commercial purposes, and we don’t pass on your details to other websites.

Your rights You can find out what information we hold about you, and ask us not to use any information we collect. If you’ve signed up for email alerts, you can unsubscribe or change your settings anytime.

AI Content Sharing & Training Notice

How your content is used

Our AI features are powered in part by OpenAI. To improve the quality and safety of these AI systems, we participate in OpenAI’s Content Sharing Program. This means that some of the text you submit through our AI tools may be shared with OpenAI and used to help train and improve their models.

Only content that is specifically marked for sharing is included. This is called Designated Content.

Anonymization

Before any Designated Content is shared with OpenAI, it is processed in a way that removes identifying information. OpenAI does not receive any data that would allow them to determine which aisearch.onl user submitted the content.

What OpenAI does with the data OpenAI may use Designated Content for:

  1. Training and improving AI models
  2. Research and development
  3. Evaluation and testing

OpenAI processes this Designated Content as an independent data controller, separate from other data you provide to us.

What you must not submit To protect your privacy and comply with OpenAI’s requirements, you must not submit:

  1. Sensitive, confidential, or proprietary information
  2. Protected Health Information (PHI) under HIPAA
  3. Personal data of children under 13 (or the age of digital consent in your region)
  4. Any information you do not want used for AI training

If such information is submitted, it may still be processed as part of the Content Sharing Program.

Your responsibilities By using our AI features, you confirm that:

  1. You have the rights and permissions to provide the content you submit
  2. You have informed any relevant end users, where required
  3. You have obtained any necessary consent
  4. You understand that Designated Content may be used by OpenAI for model training

We may provide a copy of this notice to OpenAI if they request confirmation that users have been informed.
